Exhibitor Load-In Window: Wednesday, May 8th, 11:00 AM – 4:00 PM OR Thursday morning, May 9th, 9:00 AM - 1:00 PM

- If utilizing the Thursday option, ensure you are 'Show-Ready' for our 2 PM start.
- Exhibitors cannot load in at any other time unless acquiring special approval from IRONMAN.
Exhibitor Load-Out Window: Friday, May 10th, 4:00 PM – 7:00 PM.
- There is no race day expo at the Edgewater Conference Center. All exhibitors must finish loading their items by 7:00 PM on Friday, May 10th.

- Any materials not intended for the IRONMAN Village must be packaged and labeled separately. (Example – sending materials for both village and athlete bags)
Shipping Window: Monday, May 6th – Wednesday, May 8th from 9:00 AM - 3:00 PM
- We cannot guarantee someone will be present to receive the product delivered outside of this window.
RETURN SHIPPING INFORMATION:
- Return Shipments must be palletized, labeled, wrapped, and scheduled for pickup on Saturday, May 11th, between 8:00 AM – 12:00 PM.
- The above shipping address becomes a vacant parking lot once the IRONMAN Staff leaves at 3:00 PM.
- If not picked up on time, the product will be left unattended and unsecured in the empty parking lot.
IRONMAN 70.3 GULF COAST SPECIFIC ITEMS:
- Event Schedule – No race day expo will be offered at this year’s event. Unless your activation requires a race day component rental return post-event) you will be required to load out on Friday evening.
- The Edgewater Beach Resort is also the location for the Swim Start, Swim Finish, Transition, and Finish Line. The finish area is located less than 1/2 mile from the IRONMAN Village.
- TABLE COVERING: Bring a table covering to fit an 8’ table.
- ELECTRIC NEEDS: Confirm your electrical needs by Friday, April 24th. On-site requests for power cannot always be accommodated.
- ONE BRAND PER 10x10: It is required that only one single brand can be represented within each 10’x10’ booth. For example, TIMEX may only bring TIMEX products to their 10x10 space, and they cannot get a different brand unless they purchase an additional 10x10 booth space. Let me know if you have any questions before arriving on-site to activate.
- PERMITS: If you plan on selling products at your booth, you must charge a local sales tax of 6.5%. I will have a tax form for you upon arrival. Please make sure to obtain proper tax identification. The city also imposes a 1% sales tax instead of federal taxes. I will provide the documentation, and you must send a check to cover this post-event.
- TENT RENTAL: Vendors can rent an unbranded black 10x10 tent and frame. The cost of renting a tent is $250 for the duration of the IRONMAN Village. In addition to the tent, weights will also be provided—additional on-site requests: tables, chairs, tent, and power will be accompanied by rental fees.
- A 10’x 10′ booth comes with one (1) 6′ table and two (2) chairs. Booth payment is nonrefundable. *One brand per 10x10 space.
PARKING INFORMATION:
- For free, exhibitors can park next to the IRONMAN Village at the Edgewater Conference Center parking lot. Multiple parking lots will be available within a ¼ mile of the Race Day IRONMAN Village.
